Official Withdrawal
If you are considering withdrawing or dropping classes and are not sure how this will impact your current or future financial aid, please visit the Office of Financial Aid to speak with an Advisor or email the Office of Financial Aid.
Students who withdraw from all of their classes may only keep the amount of financial aid they have earned up to the point of withdrawal. The Office of Financial Aid will receive notification when you have officially withdrawn from all of your courses. Your financial aid will be reviewed to determine exactly how much you earned while attending class and how much potentially must be reduced and returned to the federal or state funding source.
To determine this, we follow the formula provided to us by the Federal and State Governments.
Once we have recalculated your eligibility, we will notify you of any adjustments to your financial aid. If your financial aid is reduced, you may be required to repay back funds you received.
In the notification, we will indicate what types of aid is being recalculated and exactly how much has been removed.
If we are required to reduce your financial aid, we must allocate funds in the following order:
- Unsubsidized Federal Direct Loans
- Subsidized Federal Direct Loans
- Federal Perkins Loans
- Federal Graduate Plus (Student) Loans
- Federal Parent (PLUS) Loans
- Federal Pell Grant
- Other federal loan or grant assistance
- Other state or institutional financial aid programs
There is also the possibility when the recalculation is completed that you may be eligible for a post withdrawal disbursement if all of your aid had not disbursed to you prior to your withdrawal. You will be notified of this and what options you have if this occurs.
You are enrolled in modules if you enroll in a course or courses that is shorter than the entire length of a full semester. A module is any class that does not span the full length of the semester. For module enrollment the total number of days in the payment period (denominator) of the R2T4 calculation will only include the days in a module if the student attended the module or if the student’s classes in that module was used to determine the amount of the student’s eligibility for Title IV funds for the payment period.
You are considered to have withdrawn for Return of Title IV purposes if you do not complete all the days in the payment period (semester) that you were scheduled to complete with the following exceptions:
- A student who completes all the requirements for graduation from his or her program before completing the days or hours in the period that he or she was scheduled to complete is not considered to have withdrawn.
- In a program offered in modules, a student is not considered to have withdrawn if the student successfully completes (grade of A, B, C, or D):
- One module that includes 49 percent or more of the number of days in the payment period, excluding scheduled breaks of five or more consecutive days and all days between modules;
- A combination of modules that when combined contain 49 percent or more of the number of days in the payment period, excluding scheduled breaks of five or more consecutive days and all days between modules; or
- Coursework equal to or greater than the coursework of a half-time student (undergraduate-6 credit hours, graduate-5 credit hours) for the payment period.
- For a payment period or period of enrollment in which courses in the program are offered in modules:
- A student is not considered to have withdrawn if the institution obtains written confirmation from the student at the time that would have been a withdrawal of the date that he or she will attend a module that begins later in the same payment period or period of enrollment; and
- That module begins no later than 45 calendar days after the end of the module the student ceased attending.
Unofficial Withdraw Policy
Tarleton State University must determine whether a return of Title IV Financial aid is required when a student fails to attend or ceases to attend a class and does not withdraw.
Tarleton faculty will monitor all student enrollment and report to the Office of the Registrar the following grades for students who unofficially withdraw from courses:
- F0 grade indicates a student who never attended a class
- FX grade indicates a student attended but stopped attending at some point in the semester and a date will be assigned as the last date of attendance for that class
At the end of each semester (fall/spring/summer) the Office of Financial Aid will review all financial aid students who have any combination of the above FO or FX Grades and determine if the financial aid requires an adjustment.
If an adjustment is required, the aid will be recalculated and the student will be notified immediately. Any reduction of financial aid will be reflected on the student’s bill with the Office of Business Services.
If we are required to reduce your financial aid, we must allocate funds in the following order:
- Unsubsidized Federal Direct Loans
- Subsidized Federal Direct Loans
- Federal Perkins Loans
- Federal Graduate Plus (Student) Loans
- Federal Parent (PLUS) Loans
- Federal Pell Grant
- Other federal loan or grant assistance

The policy to return funds due to withdrawal may be modified at any time without prior notice in order to comply with state and federal guidelines.
