Travel Approval vs. Travel Funding

All student travel requires university approval and must be submitted through the university’s student travel process. Students seeking financial support from the COSM Dean’s Office must complete the student travel funding application. Travel approval does not guarantee funding availability or approval.

Travel Criteria, Funding, and Eligibility

Travel Criteria

  • Research activities, including scholarly presentations, scholarly and creative activities, field research, or research workshops
  • Instructional and professional development activities, including instructional workshops, presentations, or certification training

Funding

Eligible students may apply for up to $750.00 to support one trip per fiscal year (September 1 through August 31). Award amounts are based on available funding, application priority, and the number of eligible applications received.

In the event of student group travel to the same conference for the purposes of presenting the same research project, a single application must be submitted for the entire group. The application must include the name of all students with a detailed budget breakdown of how the funding will be split amongst the group. A maximum of $750.00 will be awarded per presentation, regardless of group size.

To strengthen their application, students are strongly encouraged to seek matching funds from other departmental or university resources.

Eligibility

Only current COSM undergraduate, master’s, and doctoral students are eligible to apply for a COSM student travel funding award. Highest priority will be given to travel in support of research and scholarly activities. Travel in support of other activities, including instructional activities, will be funded based on availability of funds.

Students who have received individual travel funding awards are not eligible to be considered as part of the group travel award. Similarly, students who are awarded as part of a group travel award are not eligible to apply later for an individual travel award.

Travel Funding Application

Beginning with the 2026 – 2027 academic year, students will use a Kuali form to apply for COSM student travel funding awards. Applications must be submitted through the Kuali application form by 5:00 PM on the following dates:

Application Cycle:Deadline
Fall 2026October 9, 2026
Spring 2027January 8, 2027
Summer 2027April 9, 2027

For spring and summer travel, students may apply for travel funds by the fall application if all required information is available, or may wait for the applicable deadline. Travel that occurs before fall funding decisions are announced (e.g. from August through mid-October) will be reimbursed if the request meets the criteria and is approved.

Funding decisions are typically made within three weeks following each application deadline.

Important Policies

  • This application satisfies only the college-level travel funding request requirements. Faculty members and students are still responsible for completing all departmental and university travel approval requirements.
  • Travel request approval does not guarantee funding approval. Funding applications do not guarantee funding will be approved.
  • If approved travel with funding is canceled or not completed, awarded funds must be returned so they may be reallocated. Please notify the COSM Dean’s Office as soon as possible at cosm@tarleton.edu.
  • Any unused funds must be returned and may not be applied to a second trip without prior approval from the Dean. This will only be considered on a case-by-case basis.

Questions on COSM student travel funding applications and using the Kuali form application may be directed to the COSM Dean’s Office at cosm@tarleton.edu or 254-968-9781.
