{"id":696,"date":"2021-12-14T15:24:53","date_gmt":"2021-12-14T15:24:53","guid":{"rendered":"https:\/\/web.tarleton.edu\/studenttravel\/?page_id=696"},"modified":"2025-05-06T16:51:20","modified_gmt":"2025-05-06T16:51:20","slug":"home","status":"publish","type":"page","link":"https:\/\/www.tarleton.edu\/student-travel\/","title":{"rendered":"Home"},"content":{"rendered":"\n<h2 class=\"wp-block-heading\">Student Travel<\/h2>\n\n\n\n<p>Travel involving students participating in a university-sanctioned activity or event that is located more than 25 miles from the originating&nbsp;<a href=\"https:\/\/www.tarleton.edu\/about\/index.html#locations\">campus location, center, institute, or facility<\/a>&nbsp;(student travel) requires all travelers to follow all established laws and system and university policies, regulations, rules and procedures when the travel is:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>funded by the university; or<\/li>\n\n\n\n<li>in a university-owned, leased or rented vehicle; or<\/li>\n\n\n\n<li>organized and\/or sponsored by a Tarleton student organization; or<\/li>\n\n\n\n<li>organized and\/or sponsored by a university employee and\/or under the scope, direction, or election of a college, department, university office, learning community, Global Initiatives and Service program, etc.<\/li>\n<\/ul>\n\n\n\n<div class=\"wp-block-group has-texan-white-color has-text-color has-background has-link-color wp-elements-f5b61bf1f4e38222992b34bb5c036d5b is-layout-flow wp-block-group-is-layout-flow\" style=\"background-color:#bf3d25\">\n<p>Please Note: This registration process is for domestic trips ONLY.<\/p>\n<\/div>\n\n\n\n<div style=\"height:30px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<p>If you are traveling internationally, you must follow all provisions and regulations outlined in Tarleton&#8217;s Foreign Travel Procedure and on the Global Initiatives and Service webpage. started.<\/p>\n\n\n\n<div style=\"height:30px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"stepsToTraveling\">Steps to Traveling<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"step1\">Step 1 &#8211; Complete Travel Profile and Waiver<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Anyone traveling on a university-sanctioned activity or event, involving students, is required to complete the&nbsp;<em>Travel Profile and Waiver&nbsp;<\/em>(this includes students, faculty, staff and guests)<\/li>\n\n\n\n<li>Once submitted, the traveler will receive an email at the address provided in the profile\/waiver<\/li>\n\n\n\n<li>Traveler must click on the link in the email to complete the signature process.<\/li>\n\n\n\n<li>The&nbsp;<em>Travel Profile and Waiver&nbsp;<\/em>must be completed annually and updated as needed.<\/li>\n\n\n\n<li>The Travel Profile is valid from June 1 &#8211; May 31 each year.<\/li>\n<\/ul>\n\n\n\n<div style=\"height:30px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<div class=\"wp-block-advgb-button alignfull is-style-squared\"><a class=\"wp-block-advgb-button_link advgbbtn-9c8ba1ae-44e5-49ee-a2e2-ec5eb84f37eb\" href=\"https:\/\/tarleton.az1.qualtrics.com\/jfe\/form\/SV_ethacmaA0C8Fceq\" target=\"_blank\" rel=\"noopener noreferrer\"><span>Travel Profile and Waiver<\/span><\/a><\/div>\n\n\n\n<div style=\"height:30px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"step2\">Step 2 &#8211; File Trip Registration<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Trip Submitter&nbsp;<\/strong>can be any individual associated with your organization, department, or group who has detailed information about the trip.<\/li>\n\n\n\n<li><strong>Trip Submitter<\/strong>&nbsp;is responsible for filing the&nbsp;<em>Trip Registration<\/em>.<\/li>\n\n\n\n<li>The&nbsp;<em>Trip Registration<\/em>&nbsp;includes but is not limited to name of organization, departure\/return dates and times, mode of travel, hotel information (if applicable) and Vehicle Occupancy List (VOL).<\/li>\n\n\n\n<li><strong>Trip Submitter<\/strong>&nbsp;must upload the following documents during the Trip Registration process:\n<ul class=\"wp-block-list\">\n<li><a href=\"https:\/\/www.tarleton.edu\/student-travel\/wp-content\/uploads\/sites\/251\/2022\/09\/VOL_TEMPLATE.xlsx\">Vehicle Occupancy List (VOL)<\/a>&nbsp;which includes:\n<ul class=\"wp-block-list\">\n<li>number of vehicles traveling<\/li>\n\n\n\n<li>list of drivers (anyone transporting students for student travel, as defined by<a href=\"https:\/\/www.tarleton.edu\/policy\/wp-content\/uploads\/sites\/142\/2022\/06\/13_04_99_T1.pdf\" target=\"_blank\" rel=\"noreferrer noopener\"> Rule 13.04.99.T1<\/a>, must complete, or have completed in the last year, TrainTraq Course 211.4203:<em> Driver and Travel Safety Training-Tarleton<\/em> before travel commences)<\/li>\n\n\n\n<li>driver&#8217;s license numbers<\/li>\n\n\n\n<li>vehicle license plate numbers<\/li>\n\n\n\n<li>passenger list for each vehicle<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Any additional information required by your organization, department, or group (Example: trip itinerary, departmental travel request, etc.)<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>The&nbsp;<strong>Trip Leader<\/strong>&nbsp;will serve as the point of contact while on the trip, maintain trip information, and report any emergencies to the university control center.<\/li>\n\n\n\n<li>The&nbsp;<strong>Trip Leader<\/strong>&nbsp;MUST be traveling on the trip.<\/li>\n\n\n\n<li>The&nbsp;<strong>Trip Submitter<\/strong>&nbsp;and&nbsp;<strong>Trip Leader<\/strong>&nbsp;can be the same person or two different people.<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"step3\">Step 3 &#8211; Contact Trip Coordinator<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Each trip is automatically assigned a&nbsp;<a href=\"https:\/\/www.tarleton.edu\/student-travel\/wp-content\/uploads\/sites\/251\/2025\/02\/Trip-Coordinators-2.26.25.pdf\">Trip Coordinator<\/a>&nbsp;based on group.<\/li>\n\n\n\n<li>The&nbsp;<strong>Trip Submitter<\/strong>&nbsp;MUST provide a list of travelers to the&nbsp;<strong>Trip Coordinator<\/strong>&nbsp;(including students, staff, and guests).<\/li>\n\n\n\n<li>The list must include the legal name of each traveler.<\/li>\n\n\n\n<li>The&nbsp;<strong>Trip Coordinator<\/strong>&nbsp;will finalize the trip and submit it for final
