Close out procedures begin. class=\"wp-block-heading\">Before the Kick-Off Meeting<\/h3>\n\n\n\n<p>Once the contract is signed by both parties, project set-up can begin.<\/p>\n\n\n\n<p>The Project Administrator will send out a new account request form that will require signatures from the Principal Investigator (PI), department head and the vice president before the new account number can be issued.<\/p>\n\n\n\n<p>Once the account number is issued, the project budget is loaded.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">During the Kick-Off Meeting<\/h3>\n\n\n\n<p><strong>The project administrator will schedule a kick-off meeting with the Principal Investigator and the department budget specialist to discuss the following:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Proposal migrated to project in Maestro and documents uploaded<\/li>\n\n\n\n<li>Grant account established, Pl IDC account established<\/li>\n\n\n\n<li>Personnel and Roles (who is involved in project and responsibilities)<\/li>\n\n\n\n<li>Payroll actions needed and time frame discussion with Administration staff<\/li>\n\n\n\n<li>Maestro Pl screens and training during kick-off meeting, and additional on-line resources covered<\/li>\n\n\n\n<li>Budget review and discussion<\/li>\n\n\n\n<li>Indirect Cost and how it works<\/li>\n\n\n\n<li>Time &amp; Effort Training, Certification &amp; processes discussed (TrainTraq 211113)<\/li>\n\n\n\n<li>Cost Share accounts and how this expense is captured, if applicable<\/li>\n\n\n\n<li>Subaward procedures, if applicable<\/li>\n\n\n\n<li>Expenditures\/Billing\/Revenue methods for project and how it works<\/li>\n\n\n\n<li>Deliverables due dates and method of submission<\/li>\n\n\n\n<li>Close-out processes<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">After the Kick-Off Meeting<\/h3>\n\n\n\n<p><strong>After the kick-off meeting, the Principal Investigator is ready to start the research project.<\/strong><\/p>\n\n\n\n<p>Project Administrators are responsible for assisting Principal Investigators by checking for allowability of expenses and for working with Principal Investigators and sponsors to obtain permission or modify budgets as necessary. Project administrators and PI\u2019s will monitor the account balance to make sure funds are available for expenses and that expenses fall within the terms of the agreement. The key feature to any close is the submission of all technical, financial, and other reports as required to the sponsoring agency on time.<\/p>\n\n\n\n<p>The principal investigator (PI) will be notified through a MAESTRO notification prior to the termination date of the project. The project administrator will communicate with the PI to determine if a no-cost extension will be requested or if an extension with additional funds is pending.<\/p>\n\n\n\n<p>Your project administrator will start the closeout process, which may include assistance from a budget specialist to end&nbsp;<a href=\"https:\/\/srs.tamu.edu\/projects\/project-payroll\/\">project payroll<\/a>,&nbsp;clear open encumbrances,&nbsp;<a href=\"https:\/\/srs.tamu.edu\/accounts-receivable\/\">accounts receivable<\/a>, purchasing,&nbsp;<a href=\"https:\/\/srs.tamu.edu\/property\/\">property<\/a>, and&nbsp;<a href=\"https:\/\/srs.tamu.edu\/compliance\/\">compliance<\/a>&nbsp;(if there are subawards or cost sharing).<\/p>\n\n\n\n<p>Please be aware that many sponsors will not make final payments on awards until they have received the final technical report. Specific sponsor requirements for the technical reports are usually defined in the award package.
