Residence Life has a process for students to appeal charges assigned to their account, regarding on-campus housing, to support students and the department. The following information will inform you of the appeal process and what can/cannot be appealed. This process is effective as of May 1, 2024, for all current and future charges.  

Charges can include, but are not limited to, damages to residential facilities, housing contract buyout fees, violations of residential policies, and failure to complete required procedures in on-campus housing. Once notified of a housing charge, the student will have 14 calendar days to appeal a charge. This process and timeline are in accordance with parking citation appeal process.

All appeal decisions are final. For an appeal to be considered, there must be substantial and valid evidence that the student is not responsible for the charge. 

Charges can be added to students accounts for various reasons in accordance with Residence Life policies and the Housing Contract.

  1. A charge is assigned to a student’s account through the Residence Life system. *Due to the system processes, charges may take several business days for the charge to reflect on a student’s Texan Bill Pay.
  2. The student is notified via their Tarleton email that a housing charge has been assigned to their account. Within the email a student will be provided with a link for the charge to be appealed if the student has evidence that the charge has been issued in error.
  3. The student will have 14 calendar days to complete the Residence Life Charge Appeals form.
  4. A Residence Life staff member, different than the staff member that assigned the charge, will review the appeal, documentation provided by the student, and documentation collected by Residence Life.
  5. The Residence Life staff member will email a final decision to the student using a secured platform.

The following reasons will result in a denial:

  • Damages to a bed space or room common area not indicated on the Room Conditions Sheet completed upon move-in. Damages can include un-reported maintenance issues in the residential space.
  • Failure to properly check out a residential space, by signing out of the students Room Condition Sheet and/or not returning all physical keys.
  • Damages of or failure to return residential property (such as game supplies, temporary cards, community space equipment/furniture, etc.).
  • Student requests for a buy-out during their contract period.

Roommate Difficulties?

College is a time of new growth and discovery. During the beginning of each semester a Residential Leader will visit with you and your roommates to complete a Community Living Agreement so that you can proactively discuss your living environment prior to experiencing conflict. If conflicts arise, we encourage roommates to communicate their concerns with each other. However, we also acknowledge that there are times when a neutral perspective, such as from a Residential Leader, helps in the mediation process. Residential Hall Directors are professional staff members who oversee conflicts needing more attention and are trained in conflict resolution and low-level mediation. They can also facilitate room changes, if needed.

Mail

If you are living in a residence hall, your mail is delivered to the Tarleton Post Office located in the Barry B. Thompson Student Center (T.S.C.). Specific mailbox numbers are assigned by the Tarleton Post Office. Please visit the Thompson Student Center to receive your T-box number and your mailbox key when you arrive on campus. The Tarleton Post Office is an approved postal delivery location and you can receive your overnight letters and/or packages with your T-box address.
