How do I to get access to edit web content?

Web maintainers will be held responsible for anything they post on the website and must abide by the web guidelines and policies of Tarleton State University. You must be an active maintainer, remove old files, and replace outdated content on a regular basis as well as receive regular training as the web maintenance software or best practices change. Access will be revoked for individuals who do not comply with these guidelines and policies. Given the technical and computer literacy requirements to update website access to Cascade CMS will only be given to technically proficient users:

Faculty and staff members
Graduate assistants and student workers

No one else should be using your account (NTNET username and password) to log in and make changes in Cascade, per SAP 29.01.03.T0.01 Information Resources – Acceptable UseSAP 29.01.03.T0.02 Information Technology Services – Account Management, and SAP 29.01.03.T0.10 Information Technology Services – Password Authentication.

Basic Cascade Training is no longer provided for web maintainers using the old template as we are migrating all websites to the new responsive template soon via Project Lightning.

Proficiency in Today's Digital Tools and Concepts

  • All Cascade CMS users must have a technical proficiency in today's digital environments that allows them to appropriately and correctly update their website. You must be willing to learn new technology and best practices as our guidelines evolve for this ever-changing industry.
  • Web Services does not provide training on non-web maintenance software (e.g. Microsoft Word, Adobe PDF, Google Chrome, Mozilla Firefox, Microsoft Edge) as you are expected to have a basic understanding of these tools prior to receiving training, and you are advised to contact Computer Helpdesk for any troubleshooting issues regarding non-web maintenance software.
  • You must understand web concepts (e.g. metadata such as page titles and keywords, search engine optimization or SEO, web address or URL) and have some prior experience or course work related website editing and maintenance.
  • You must be capable of using software that can resize and crop photography to the appropriate dimensions without squeezing or stretching the photo, and you must be capable of discerning quality and appropriateness of photos, including how to choose photos that comply with copyright laws.

Policies and Guidelines

In order to gain access to Cascade CMS, each individual must read through and understand the following policies and guidelines.

Reading through the materials will take you approximately 45 minutes:

  1. Website Terms of Service: Includes information and rules about embedding "scripts", database usage, supported web development, lack of maintaining content, and handling of secure information.
  2. University Web Guidelines: Includes color requirements, images, CSS, frames, multimedia, collecting form data, document formats, and testing web pages.
  3. Accessibility Requirements: Federal and state requirements regarding accessibility of information on the web. Includes providing alternate tags for images, transcripts for videos, and more. It is important to know that the university can be held liable and even sued for inaccessible content.
  4. Copyright Law: Use of images, music, and video you do not own the copyright to - know the requirements. Posting copy-written materials on Tarleton's website does not constitute "fair use" according to federal law. It is important to know that the university can be held liable and even sued for posting copy-written content.
  5. Privacy and Security Policy: Collecting information on the web, user choice, access, and security
  6. Website Link Policy: Links to/from Tarleton's website, conditions for link maintenance, and removal process

Web Services is available to assist, advise, and consult on any matters regarding the website. Do not hesitate to contact a Web Services representative if you have questions regarding Cascade CMS, how to organize web content, desired functionality or scripts, how to be accessible, or anything else related to the web. Contact Web Services as soon as you see anything unusual regarding your website or Cascade CMS.

How do I to get access to edit web content?

For all responsive website conversions, Web Services has identified the following roles for the management web content on the Tarleton State University website to help aid in the efficiency and timeliness of the web update process. 

The roles are as follows:

  • Content Editors
  • Content Owners
  • Unit Managers

Definitions

  • Unit: A college, department, or organization
  • Content updates: Editing text or verbiage, and adding/changing images on the website

Any full-time employee may assume multiple roles in the web update process, though the Unit Managers should be in a supervisory role within the Unit. Because of the high turnover rate of undergraduate student interns and student workers, members of these groups are not permitted to be assigned to any of these roles.

Responsibilities of Content Editors

  • Attend annual require training for Content Editors provide by the Office of Web Services
  • Gather or request from Content Owners the needed content to make relevant, accurate, timely, and engaging updates to unit’s site
  • Using Cascade Server, make content updates and other maintenance to the unit’s website(s)
  • Ensure that content posted adheres to University policies and guidelines on branding, identity, accessibility, copyright and privacy Responsibilities of Content Owners
  • Provide relevant, accurate, timely, and engaging content within their expertise to web content editors
  • Coordinates updates among the unit’s web content editors so that web content does not become stale
  • Certify the accuracy of content, within their expertise, for web content editors and Web Services
  • Contacts the Office of Web Services using the Request Form if other services are needed beyond content updates, such as page creation, page content reorganization, image/graphics creation, widget placement, video placement, navigation changes, etc.

Responsibilities of Unit Managers

  • Make decisions and clarify the Unit’s strategic goals and communicate those with Web Services and Content Editors and Owners
  • Identify no more than two web content editors per unit site that meet the technical proficiency requirements for Content Editors1
  • Identify content owners to be points of contact for both editors and Web Services on unit materials. Expertise can be specified per content owner
  • Ensures that web content editors have the proper resources2 and receive annual require training
  • Reports any changes or new requests to list of Content Editors and Content Owners to Web Services
  • Annually certify a list of Content Editors and Content Owners provide by Web Services (Due by August 1st)

1Technical Proficiency Requirements for Content Editors

  • Ability to resize digital images/photos
  • Ability to determine the: 
    • quality of photo lighting
    • technical specs such as size, ratio, image format, etc.
  • Ability to use Microsoft Word and Adobe Acrobat Professional
  • Basic understanding of web technical jargon: URL/web address, HTML, links/hyperlinks, etc.
  • Willingness to learn new technologies and concepts
  • Some writing experience and AP style knowledge preferred

2Proper Resources for Content Editors (at minimum)

  • A computer with the latest ITS approved operating system, an internet connection and the following software (latest versions) installed:
    • Adobe Acrobat Professional
    • Adobe Acrobat Reader
    • Microsoft Office
    • Mozilla Firefox
    • Google Chrome
    • FastStone Resizer or another image editing program
  • Access to a telephone
