Indirect Cost

Indirect costs also are called "overhead" and "F&A." Grant budgets usually do not specifically cover Tarleton's costs for project-related activities like the salaries of people involved in contract management, accounting, purchasing and payroll and often do not cover the cost of project-related long-distance telephone calls, faculty travel, and copying. Therefore, asking for indirect costs when they are allowed in an RFP is important.

Tarleton's current federal negotiated indirect cost rate is 58% of salaries and wages for on-campus projects and 16% of salaries and wages for off-campus projects. A project is off-campus if more than 50% of the project activities are conducted away from a Tarleton campus. Our approving agency is the Department of Health and Human Services.

Grant sponsors may specify a maximum indirect cost rate or, in some cases, allow no indirect costs. In these situations, the principal investigator, department head, and college dean must decide whether they can absorb the overhead costs so Tarleton can afford to accept the grant.

When received, 45% of indirect costs are distributed to the principal investigator (PI), the PI's department, and the PI's college and 55% to Finance and Administration.

Salaries and Fringe Benefits

For a multi-year project, salaries must be projected to include possible annual increases. Fringe benefit rates depend on several factors including whether the person is full-time and whether the grant will be paying fringe benefits, for example, for the entire academic year or just during the summer.

The Office of Sponsored Projects can help you obtain salary and fringe benefit information, as well as prepare project budgets and narratives.
