Board of Directors Meeting

December 19, 2000

The meeting was called to order by President, Frank Ewell, at 2:00pm.

 

Pat moved to accept the November minutes, second by Linda, Minutes approved.

 

TREASURES REPORT:

 

Mike passed out a financial statement.   The $3000.00 voted to be moved from the general fund into the endowment fund had not deposited as of yet.   The deposit should be made after December 1.

 

Pat: Money deposited to general fund from membership fees also includes the money from Dr. Howard’s class.   Since the donations from this class project are slated for an endowment fund, Pat will keep separate records as to the amounts.  The funds from the class letters totaled $1370.00 to date.

 

Jack: Motion to accept treasures report, second by Glenda, motion passed.

 

COMMITTEE REPORTS:

 

No reports from the Bylaws and Finance committees.  Newsletter will be published on March 1.  All inputs to the newsletter should be in by February 1.   Pat reported that she had sent out membership renewal reminders to all Friends members.

 

BUSINESS DISCUSSED:

 

Dr. Howard’s Class Project:  ‘Thank you’ letters have been mailed to the individuals that donated to the Dick Smith Library Project.

 

Spring Dinner in the Stacks:  Pat and Glenda investigated the Small Theater and have reserved the facility for the show on April 7.  Seating capability is 243 seats and cost is $50.00.  Reception will be held in the lobby. 

 

Pat: Working with Aramark on the reception.  We will not have a dinner only fingerfood.  The expense will be about $6.50 per person.    The charge will be $15.00 for non-members and $12.50 for Friends.   Possible name change for the event will be ‘Friends of the Dick Smith Library Spring Fling’.   Our cost will be $450.00 for the speaker plus $50.00 for the room.  We have received no information of advertising for the speaker.  The deadline for local advertisements should be around mid-March. 

 

Book Sale:   Glenda reported all books are marked and stored.  We have already received some books for the summer sale.

 

Friends Brochure:  Frank reported he is working on a brochure for Friends Services.  Donna Savage has put together this type of brochure for other functions, will do one for us. 

 

National Book Month: Pat reported the reception at the library will be on January 17 from 2:00pm until 4:00pm.   All Friends members are invited.

 

President’s Club Letter: Frank working on the letter.   Received an OK to send out letters to Presidents Club Members.   Will send letter out in conjunction with the Spring Fling.

 

Dick Smith Endowment Fund: Joe requested that all monies raised by Dr. Howard’s class go into endowment in Dick Smith’s name.  Jack indicated that ½ of our excess money in the general fund be split between the two endowments each year.

1.     Friends of the Library Endowment

2.     Dick Smith Fund for the Library.

The proceeds of the endowment will eventually be spent on library functions by the head librarian.  Joe made motion, second by Pat that the fund be a Dick Smith Endowment Fund.  Passed by vote.

 

ACTION ITEM: Joe will type up information for the new endowment fund.

 

Coffee Bar in Library Lobby:  Ken is still working with Aramark to get the Coffee Bar started.  Does not know where the paper work stands.  The Friends will offer coffee mugs for sale with logo!!  Price for 30 mugs is now $1.95 each with the price on 72 mugs set at $1.85.  Price is good through January.   Joe motion to purchase, second by Linda, passed by vote.

 

State Grant from Texas Council for the Humanities.  Jack stated the grant is for $15000.00 through the Texas Council for the Humanities and the library can apply.  The program will scan photographs of historical interest about Erath and surrounding counties and place on a web page on the Internet.   The Friends will have to pony-up $500.00.  The time schedule is around July 1 for the application. 

 

Glenda Stone, the Project Director with Dr. Chris Guthrie as Humanities Scholar, will head up the Advisory Committee.  Also on the Advisory committee are Donna Savage, Dr. Ken Jones plus Jack and Mary Anderson, all members of the Friends.

 

The web site will be connected to Library Catalog.  The Museum will support project with pictures.  The 1st step is getting around 3000 pictures (1860 up to 1950).  The Library has all the required equipment and memory capacity.

Linda motion to support, Joe second, passed by vote.

 

Friends Stationary: Linda reported the letterhead for Friends stationary (Envelops and Paper) are on order.
