FRIENDS OF THE LIBRARY ANNUAL GENERAL MEMBERSHIP MEETING

The first Friends of the Library General Membership Meeting was held the

evening of September 17, 1998 in the Dick Smith Library Multipurpose

Room. The refreshment and social time was 6:30 until 7:00 p.m. The

business meeting was 7:00 until 8:00 p.m.

The meeting was called to order by President, Ann Albrecht, at 7:00 p.m.

Those present for the meeting were Ann Albrecht, Mary Ann Lipford,

Glenda Stone, Ken Jones, Dennis Jones, Ivy Lou Cleveland, Donna Savage, Jack Anderson, Don Smart, Joe Christopher and Patricia McClanahan.

 

OFFICER REPORTS

Ann Albrecht , as President of the Board of Directors, stated that the

purpose of the annual General Membership Meeting is to update the

Friends of the Library members on what has been going on with the

Friends for the last year.

There were no minutes to approve, since this was the first meeting. The

Secretary, Patricia McClanahan, told about taking minutes for the

Friends of the Library Board meetings each month for a year, and took

minutes for this meeting.

It was reported that the activity of the Vice President, Frank Ewell, for

the past year had been a successful Bake Sale in the spring.

It was reported that theTreasurer, Mike Moser, had the Friends in good

shape financially.

 

COMMITTEE REPORTS

BY-LAWS

In Frank Ewell’s absence, Ann Albrecht handed out the amended Constitution

and the By-laws of the Friends of the Dick Smith Library.

FINANCE

In Mike Moser’s absence, Ann Albrecht reported that Mike gives a Treasurer’s

report at the monthly meetings and makes financial legal decisions like the

problem with taxes on the Book Sale.

WAYS AND MEANS (NEWSLETTER)

Dennis Jones said that he prepared the Newsletter. He is doing three

newsletters per year. Dennis also puts together mailings and flyers.

ANNUAL BOOK SALE

Glenda Stone reported that she was ready for the Book Sale on Saturday,

September 19. Glenda said that Mrs. Anderson, Mrs. Cleveland and

Mrs. Maddox had put the books on carts for her. Glenda said that they

had twenty carts of books ready, and the flyers to advertise the sale were

ready to be mailed. Glenda also stated that they did not get any books from

the Book Store this year because of the changeover from Wallace to Hastings. The Book Sale will be in the Multi-Purpose room of the Library, Saturday,

September 19.

ANNUAL BAKE SALE

Ann reported that the Bake Sale in the spring had been very successful

for 1998.

PUBLIC RELATIONS (DINNER IN THE STACKS)

Pat Cockerell reported that Allana Martin is ready to speak at the Fall Dinner

in the Stacks and everything is all set to go on October 17. Pat said that

it should be a fun evening.

MEMBERSHIP COMMITTEE

Mary Ann Lipford reported that there were 85 members of the Friends of the

Library the last time she checked. Mary Ann also reported that she plans to

meet with her membership committee soon, which consists of Stacy Roeming,

Kelli Styron and Christy Campbell-Furtick.

 

OLD BUSINESS

There was no old business, since this is the first meeting.

 

NEW BUSINESS.

Ken Jones, Parliamentarian for the Friends, talked about how the Friends

set up a Constitution and By-Laws to get started as an entity. This past

year, the Friends finally elected a Board of Directors and the first thing

that happened was that there were more members needed on the Board

of Directors than the Constitution provided for. The first change needed

in the Constitution was to increase the number on the Board to ten

members on Page 2, Section 2. The Board of Directors also felt that a May annual meeting would not work as well as a meeting in the fall for the

beginning of the fiscal and school year. A change was needed in the Constitution to change it from a May meeting to a September meeting

on Page 3, Article 7.

Ken pointed out that on Section 3 of the By-Laws, Newsletter Committee

would define what the committee did more than the Ways and Means

Committee; therefore the Board proposed a committee name change

to Newletter Committee.

Section 6 of the By-Laws has provisions for a Public Relations Committee;

however, the Board felt that Dinner in the Stacks Committee better described

it’s purpose. When they had the first Dinner in Fall 1993, they intended to

have one dinner per year. They wanted a speaker before he left, so they had another dinner to be able to have him speak. The dinners then evolved to

two per year, one in the Fall and one in the Spring. The programs have been interesting and entertaining, and the food at the dinner goes along with the

theme of the speaker.

Ken Jones moved to accept the revisions to the Constitution and By-Laws,

and the motion was seconded by Mary Ann Westbrook. All Friends members

present voted unanimously to accept the amended Constitution and By-Laws

of the Friends of the Dick Smith Library.

 

ANNOUNCEMENTS

Ann reminded everyone about the Book Sale in the Library Multi-Purpose

Room from 9 a.m. to 4 p.m. on Saturday, September 19, 1998.

Ann also reminded everyone to mark their calendars for the Dinner in the

Stacks on Saturday, October 17, 1998.

Ann Albrecht asked if there was any other new business. There were

questions from the members. Mrs. Cleveland asked when they needed

to pay dues. Ken Jones replied that dues were due now, or they could

be paid at any time. Donna Savage asked when the Board of Directors changed. Ann replied that the ones that were elected to the Board this

this past November, 1997, would officially start now, September 1998, and

would serve throughout this next year. When the Board of Directors were elected, they drew numbers to see which ones would serve one year, which

ones two years and which ones three years. Next September will start

the rotation of the Board. Ken Jones thanked all who support the Library.

Ken said that the Library was not only for the University community, but

also for the city, county and even the state. Ken stated that it was open

to all and is willing to help all who come to the Library. Joe Christopher

pointed out that there is a benefit that applies to members of the Friends

that does not apply to the general public and that is that members can check

out materials from the Library. It was also brought out in the meeting that

the Teaching and Learning Center is also open to general public. The

Teaching and Learning Center has wellness information, motivational

information and stress management. Glenda Stone said that the goal for

this year is to publicize what the Teaching and Learning Center. Mary Ann

Lipford wants to put together a brochure about the Teaching and Learning

Center.

Glenda Stone said that they tried to get Dick King before for speaker for

Dinner in the Stacks in the year that it would have been one hundred years

Since they first advertised classes for Tarleton, but Dr. King became ill and

did not get to speak. They are hoping to get Richard King for the Spring

1999 Dinner so that it will tie in with the Centennial. Donna Savage said that Chris Guthrie’s book would also be out this fall and Chris could also tie in with the Centennial.

Ken Jones reported on the collection of books that Richard King donated to

the Dick Smith Library. The Library is in the process of cataloging the collection, which has a lot of Texas History material. The collection also has articles that Dr. King has categorized. The material is expensive; therefore, people can see it but cannot check it out.

Ann told about Mike Moser and his Project Funding Committee having

ordered two displays cases to house some of Dr. King’s collection.

Ken added that the display cases are very nice wood with glass. Ken

said that there was approximately $8000 in the Friends budget and the

cases were coming out of that fund. Ken also stated that he gets the

Book of the Month Club book from these funds; plus they get material for

Dinner in the Stacks.

The September 17, 1998 General Membership meeting was adjourned

at 7:40 p.m.
