Application process

I have an experience that fits the criteria, but it doesn't need development grant support. How do we make it an ALE?

The REAL Council must verify the experience meets the QEP criteria, but the application can be completed and submitted at any time, preferably at least 6 weeks before the start of the experience.

The application is the same as for a development grant ALE and is located in the How to Apply section of this website.  Feel free to contact any REAL Council member for assistance with the application process.

How can I get a grant to develop and pilot an ALE?

The REAL Council issues a call for proposals mid-fall and mid-spring (if funds are still available a third call in mid-May is possible).

Complete the appropriate "ALE Grant Application" located in the How to Apply section of this website.  Feel free to contact any REAL Council member for assistance with the application process.

I developed and implemented an ALE and it is going to continue. Do I have to re-apply?

No. Complete the "ALE Renewal form". Additional information can be found in the How to Apply section of this website.  Feel free to contact any REAL Council member for assistance with this form.

I’m not sure if the experience fits the criteria

Call or email anyone on the REAL Council. Colleagues who have completed ALEs are also an excellent resource. Even if an experience doesn't fit the criteria, these resources can often help restructure the experience such that it does qualify.

Completing the Application

What types of "additional artifacts" can be used?

The additional artifact can be anything related and appropriate to the experience. For example, a Study Abroad or Service Learning experience may choose to use a photostory, blog, PowerPoint, etc.; an Undergraduate Research experience may choose to use a poster presentation.

What is meant by "how the applied learning experience will incorporate the students’ holistic education"?

Students often do not recognize the connection between what they have learned in and out of the classroom and real world experiences. One of the student learning outcomes of Keeping it REAL is to help the students recognize this connectedness and thus engage in and value their educational experience.

Very briefly describe how this experience will incorporate academic content not only from courses in the student's discipline, but also content outside the discipline and skills they may be acquiring in non-academic experiences.

It is often necessary for the experience supervisor to help the students identify these connections. Consider prompting them with "Remember learning about that in ..." or "Didn't you learn about something similar in your political science class" or ...

What is meant by "how the applied learning experience will impact the students’ global perspective"?

Students often do not recognize the broader impact of an experience. If an experience is being conducted in an environment that is significantly different from the one in which they were raised or are going to school, it will likely open their eyes to the impact of different cultures, different government structures, different societal norms, etc.

Even if the experience is conducted in the student's "own back yard", the external nature of the experience may open their eyes to the impact of different socio-economic conditions, different political perspectives, different environmental practices, etc.

Very briefly describe the potential broader impact of the experience.

It is often necessary for the the experience supervisor to help the students identify these impacts. Consider prompting them with "How is this impacted by the current economy" or "What cultural differences did you observe" or "How does this impact the environment" or ...

For a particular ALE area, help me describe how the experience addresses the SLOs for that area.
How can I help the participants achieve the SLOs as well as develop their analytical reflection skills?

Periodic activities throughout the experience such as journaling, status reports, analysis papers, etc. which include feedback from the supervisor often help the students hone their critical thinking and reflection skills. Consider how these activities can fit into your class or experience.

Using the Grant Funds

How do I get my ALE account number?

After submitting the ALE contract sent to you when you were notified of your grant award, you should have received a signature card from business services assigning your QEP subaccount. The signature card is to be signed by the grant recipient and returned to business services before you can use the account.

To pay a faculty or staff stipend...
  1. Use the QEP subaccount assigned when the grant was awarded. You should have received a signature card from business services notifying you of the account activation. The signature card is to be signed by the grant recipient and returned to business services before you can use the account. 
    • If you forgot your account number, contact Denise Martinez, QEP Coordinator at x0596 or dmartinez@tarleton.edu.
  2. Allowed stipend amounts are based on the amount of time spent by the supervisor working directly on the ALE.
    • Supervisors may request a task rate of $1500 (stipend) if the total committed time is 60 hours or more.
    • Supervisors may request a task rate of $750 (stipend) if the total committed time is more than 20 but less than 60 hours.
    • Projects requiring 20 hours or less of the supervisor’s time are not eligible for a stipend.
  3. Complete the Stipend Memo certifying compliance with #1 above.
  4. Complete a personnel budget action form (PBA) using the assigned QEP subaccount number. The ALE supervisor is the account owner, so s/he signs on the "Dept. Head" line of the PBA. 
  5. Attach the Stipend Memo to the PBA and send to the QEP Coordinator (T-0508).
To pay a student intern a lump sum...
  1. Use the QEP subaccount assigned when the grant was awarded. You should have received a signature card from business services notifying you of the account activation. The signature card is to be signed by the grant recipient and returned to business services before you can use the account.

  2. If the student has not been a university employee, the student should complete an employment packet.
  3. When the experience is finished, complete a personnel action form (PAF) for the student using the assigned QEP subaccount number.
    • The ALE supervisor is the account owner, so s/he signs on the "Dept. Head" line of the PAF.
    • Check "Task Rate" under "CHECK AS APPROPRIATE:".
    • Document in the Justification section (or attach an agreement with the student) the tasks to be completed in order to receive payment. This is a required contract for Internship ALEs. Since you are paying the student a "task rate", the PAF must include documentation of the tasks expected to be completed in order to receive the funds.
    • Send the PAF and the Work Contract or Memo to the Denise Martinez, QEP Coordinator (T-0508). It will be signed and submitted to business services.
